OFFICE OF REGISTRAR

The Office of the Registrar ROSJ provides administrative and coordination services in support of the UNB learning community. The office is also the steward of official student academic records and administration.

WHAT WE OFFER

Full-time | Continuing | Saint John | On-Campus

Standard Work Hours: Mon – Fri | 8:15 am – 4:30 pm | 36.25 hours per week

Salary Range: $22.75- $28.42 per/hour

YOUR FOCUS

Reporting to the Associate Registrar, Student Response Assistant PL5 is responsible for the first line of support to enquiries from students, faculty and staff.

  • Provide customer service by phone, email and directly at the counter.
  • Resolve or re-direct as appropriate, student, faculty and staff issues, with regards to UNB regulations and procedures, records, admissions, student accounts and receipting.
  • Advise students and other stakeholders on university academic and financial policy and practices related to general university policy and program-specific information.
  • Maintain strong positive working relationships with all UNB units.
  • Assess, calculate and receive payments made to UNB.
  • Prepare cash floats and perform opening and closing tasks including balancing and summary for bank deposit.
  • Maintain, update and prepare for release, transcripts, enrollment confirmations, tax receipts, letters of permission, academic standing and other records related documents and communications as appropriate.
  • Maintain and update student registration, program designations and records notations as required.
  • Review daily systems reports for errors and find contextual resolution.
  • Receive and process grade verifications and notations and update grade adjustments as required.
  • Advise, assess and prepare exam deferrals, as appropriate.
  • Arrange academic and non-credit course activations and offering times.
  • Update academic and non-credit course curriculum details according to the Senate approval.
  • Assign classrooms for academic and non-credit term courses.
  • Assist in annual or term projects including but not restricted to, committees, orientation, exams, invigilation, graduation, and registration.
  • Other Office of the Registrar duties as required.

WHAT YOU BRING

  • Post Secondary education in office administration or a related field.
  • A minimum of three (3) years customer service experience.
  • An equivalent combination of education and experience will be considered.

Additional Strengths

  • A University Degree in Business Administration and Accounting or a related field will be considered a strong asset.
  • A minimum of one (1) year of experience in a university setting will be considered an asset.
  • Ability to develop an in depth understanding of UNB academic regulations and procedures, UNB academic and non-credit programs, and key messages of UNB Saint John.
  • Proficiency in Microsoft office (365) and database management.
  • Strong reading, writing and comprehension skills.
  • Ability to maintain confidentiality.
  • Strong customer service and interpersonal skills.
  • Strong organization and time management skills.
