ADMINISTRATIVE STAFF SPECIALIST I (BAND LEVEL 4)

(Contractual Position to August 31, 2025)

DUTIES

  • The Administrative Staff Specialist I will be required to provide administrative and faculty support to the activities of the Environmental Policy Institute (EPI) within the School of Science and the Environment, as well as to support the School more broadly.
  • The EPI is a research institute whose academic work includes the operation of the Master of Arts in Environmental Policy (MAEP) program. The successful candidate will oversee and coordinate the day-to-day activities of the EPI Director’s office at Grenfell Campus. The position acts as secretary to support the work of various committees in the EPI and MAEP. Duties include performing financial and administrative work including coordinating receipts, review processing, making travel arrangements, and recording a variety of purchasing related to the EPI and its associated faculty; liaising with respective administrative units on EPI and MAEP related issues, general business administration; providing administrative assistance to support grant holders in completing request for hires and financial support; tracking and documenting EPI activities and outputs, such as publications and conferences; coordinating room bookings for the boardroom and lab; coordinating EPI engagement activities, meetings, and EPl-led research activities and events; relaying basic website and social media updates where necessary; liaising with respective units to support students in the MAEP program; providing information and procedural directions as appropriate, in consultation with the Dean’s office and the office of the AVP, Research and Graduate Studies; supporting the administration of the MAEP student internship process; providing assistance in the understanding and interpretation of University policies and procedures; ensuring that office operations are in compliance with policy provisions and standards; and performing other related duties as required.
  • The School of Science and the Environment is one of three academic schools at Grenfell Campus and includes all science disciplines, as well as social science programs with an environmental/sustainability focus, at both the Undergraduate and Graduate levels. The remaining duties of the position are to provide general administrative support to the School, with a particular emphasis on the areas of graduate studies and research.

QUALIFICATIONS

  • Experience (1-3 years) in an administrative staff capacity; completion of a community college program in Office Administration; or one year of University-level courses in Business Administration or a related field; or any equivalent combination of experience and training. Proficiency with Microsoft Office Suite, and knowledge of basic accounting principles is required. The ideal candidate will have strong interpersonal, verbal and written communication skills, discretion, and attention to detail, as well as organizational and time management skills; including the ability to multi-task and respond effectively with frequent interruptions. The successful applicant must have a proven ability to work with confidential and sensitive human resources and financial information. Knowledge of employment standards and legislation is essential for this role. Knowledge of the University organization, rules, regulations, and procedures would be considered an asset.

SALARY $49,308 – $57,841 per annum (Non-Bargaining)
