The Opportunity

We’re excited to welcome a dynamic and friendly new team member to join us as Receptionist! This isn’t just any job; it’s your opportunity to keep our office running smoothly while fostering a fun, vibrant, and engaging workplace. If you excel in customer service and have a sharp eye for detail, this role is perfect for you. Reporting to the Director, People & Culture, you’ll be the welcoming face of Provident10, ensuring all visitors and stakeholders feel at home and receive the assistance they need. Your key responsibilities include creating an inviting atmosphere, managing the reception area and board rooms, and providing essential office support. This exciting full-time, permanent position is based in St. John’s, NL.

Your key activities will include:

Reception Duties

  • Answer, screen, and direct incoming phone calls to the appropriate recipient.
  • Greet people coming into the office and direct them to the appropriate contacts or services.
  • Maintain front desk security and security access lists and issue badges to visitors.
  • Receive all incoming and outgoing mail by sorting, opening, and circulating as needed upon receipt.
  • Schedule and manage appointments, ensuring the coordination and reservation of meeting rooms as needed.
  • Coordinate and place catering orders for meetings and events.
  • Manage confidential information with discretion and professionalism.
  • Foster a positive organizational culture through personal interactions and engagement.

Office Support

  • Ensure office common areas are clean, organized and operationally ready.
  • Schedule training sessions, ensuring all necessary arrangements are in place.
  • Liaise with building management and maintenance vendors as needed.
  • Support various social and engagement initiatives, including team-building events and celebrations of commemorative days to foster a positive workplace culture.
  • Assist with office tours for new employees as part of the onboarding process.
  • Support other departments as required.
  • Order tea, coffee, and office supplies and keep inventory of stock to ensure supplies are proactively replenished throughout the office.
  • Create and maintain a directory of preferred vendors, cultivating positive relationships with all Provident10 business partners.

What you’ll bring to the role:

  • Completion of a post-secondary Administrative Program supplemented by 1 year of working experience in a relevant role. Equivalencies will be considered.
  • Strong interpersonal and communications skills with client care excellence andthe ability to build connections.
  • Good judgment and the ability to work independently with minimal supervision, demonstrating exceptional attention to detail and accuracy.
  • Proficient in organizing successful events, managing logistics, timelines, and ensuring smooth execution
  • Effective multitasking skills, maintaining focus while meeting deadlines and objectives, along with dynamic energy and enthusiastic engagement that fosters positive interactions and team morale.
  • Proficient in Microsoft Excel, Word and Outlook.

Salary Range: $41,000 – $57,400
