Saint John Nissan is seeking an Administrative Assistant to join our team!

As an Administrative Assistant, you will be a vital part of ensuring the smooth operation of Saint John Nissan by providing essential administrative support. Your duties will include managing incoming calls, welcoming visitors, scheduling appointments, and handling a variety of administrative tasks to help maintain the dealership’s efficiency.

Wage Range: $18.95 – $21.50/hour

Responsibilities include but are not limited to:

  • Office Management: Maintain office supplies inventory, order supplies, and manage equipment maintenance.
  • Communication: Answer and direct phone calls, take messages, and handle correspondence (emails, letters, etc.).
  • Documentation: Prepare and modify documents including correspondence, reports, emails and files.
  • Data Entry: Reconcile and input data into spreadsheets, databases, and other records, ensuring accuracy and confidentiality.
  • Customer Service: Greet visitors and direct them to the appropriate department and staff member.
  • File Management: Maintain a filing system for office documents, both electronic and hard copies, ensuring they are easily accessible.
  • Meetings: Attend and take detailed meeting minutes of the Health and Safety Meetings.
  • Support: Provide general support and other duties to the team, as required.

Qualifications:

  • Proven experience as an administrative assistant, receptionist, or in a similar role.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Attention to detail and ability to maintain confidentiality.
  • High school diploma or equivalent; additional qualifications in Office Administration or Human Resources are a plus.
