Safety, Health and Environment (SHE) Administrative Assistant

The SHE Administrative Assistant position is responsible for assisting Hydro’s corporate Safety, Health and Environment (SHE) team in meeting their objectives and targets for the organization and for supporting the implementation and maintenance of the Occupational Health and Safety Management System and Environmental Management System. This position provides administrative assistance to the corporate SHE team and is essential to supporting Hydro’s commitment to preventing injury and illness among employees and being an environmental leader, and assisting the organization in achieving its safety, health and environmental performance goals.

Responsibilities:

  • Managing the SHE team’s forms and data according to legal and company regulations, including the administration and control of document and records management systems to satisfy the requirements of the ISO 14001 Environmental Management Systems standard and the ISO 45001 Occupational Health and Safety Management System;
  • Maintains and organizes documents, including storing, cataloging and retrieving documents such as paper files, electronic files, and/ or databases;
  • Provides guidance and assistance to the SHE Department in use of document and records management tools and resources;
  • Coordinating and assists auditors in the completion of internal and external EMS audits to ensure accessibility of document and records information;
  • Coordinating and assisting with management of training requirements and ensuring records are added to Hydro’s training database;
  • Managing SHE invoices, assisting with budgets, coordinate procurement contracts and and other financial items;
  • Data entry and/or upload into Hydro’s Occupational Health software system and other data management software/databases such as the Learning Management System, OHS Orders, etc.;
  • Coordinate health and wellness activities such as blood collection appointments at Hydro Place, and assisting with bookings for health promotion/wellness events;
  • General administrative assistance including coordinating team meetings and other bookings, manage the Corporate Emergency Response Plan (CERP) schedule and rosters, and assisting with activities relating to the Safety Summit, SHE week, etc.;
  • Other assigned duties as required.

Qualifications:

  • High school graduation and a diploma in Business/Office Administration program, or Health and Safety
  • Minimum of two (2) years related office experience in a Health and Safety and/or Human Resources environment
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Experience in developing and implementing document control/records management procedures, and familiarity with electronic document management systems
  • Strong organizational and time management skills
  • Knowledge of OHS and/or Environmental legislation, and familiarity with WorkplaceNL’s Connect system would be an asset.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint);
  • Experience in developing and implementing document control/records management procedures, and familiarity with electronic document management systems;
  • Excellent communication skills both written and verbal;
  • Strong organizational and time management skills;
  • Excellent attention to detail and accuracy;
  • Ability to work independently and as part of a team;
  • Ability to manage multiple tasks and meet deadlines;
  • Knowledge of OHS and/or Environmental legislation, and familiarity with WorkplaceNL’s Connect system would be an asset.
