Salary: $45,191 per annum (SEIU Administrative Assistant 3). Salary increases to $50,371 following successful completion of 6-month probation period.

Responsibilities

Acadia seeks an Administrative Assistant in the Psychology Department to receive visitors, calls, and other contacts to the department and to provide informed responses to inquiries and referrals as appropriate. Inquiries are frequently regarding registration, course options, and academic regulations.

In addition, the incumbent prepares the timetable for all courses offered through the department, supports recruitment of new students, assists in the selection of student assistants, and provides support for the Career Development process for faculty.

Tracking of expenditures through purchase orders and procurement cards, maintaining accounting database, and assisting with budget preparation are also required. Other duties will include maintenance of the departmental website, records management, and scheduling appointments.

The incumbent also manages the psychological test bank and processes course evaluations (including statistical summary) for all teaching staff in the Faculty of Pure & Applied Science.

Qualifications

  • We are seeking a candidate who has proven experience delivering a high level of client service and demonstrated ability to think clearly, resolve issues and take initiative.

  • The successful applicant will ideally have completed a program in either office or business administration, combined with related work experience.

  • Demonstrated ability to work to a high level of accuracy, maintain confidentiality, and be flexible to regularly changing priorities is necessary, as is the need for strong analytical skills.

  • Applicants must be highly proficient in the use of Microsoft Office applications. Experience with database management is necessary; familiarity with Ellucian Colleague database an asset.

  • Familiarity with Acadia’s academic programs and administrative procedures an asset.
