We are a busy, established Chiropractic practice in Whitby.
We are looking for a dynamic person with the following qualities to join our team.

GENERAL DESCRIPTION The Appointment Clerk/Medical Receptionist performs a
variety of tasks to the clinic. They are the first contact by the prospective patient and the
clinic with the goal of fostering an environment which promotes patient comfort and
trust. Essential duties include providing excellent customer/patient services via phone and
in person. The position is considered a crucial link between the patient and the care
delivered by the Practitioners. The incumbent must work collaboratively with all Clinical
services staff and patients exhibiting flexibility and a “can do” attitude. The position must
exemplify the core values and mission of the organization, always exercising the utmost
discretion, diplomacy and tact in patient/staff interactions.

Specific Responsibilities
 Answers the phone while maintaining a polite, consistent phone manner using
proper telephone etiquette while providing information regarding our services
when needed
 Register and maintain patient accounts by obtaining, recording, and updating
personal and financial information
 Call patients daily to confirm next day’s appointment as well as calling patients
who have missed their appointments and calling back all patients who have
cancelled to re-book for another day
 Maintain a log of all patients to make sure they have re-booked for their next
appointment
 Calling insurance companies on behalf of the patients to find out their coverage
for our services
 Informs patient of any existing balance noted in computer and request patient be
prepared for any payment due at time of visit.
 Perform other clerical receptionist duties such as filing, photocopying, collating,
faxing etc.
 Receiving and sorting daily mail/deliveries/couriers
 Receive payments, record receipts for services and handle and reconcile all petty
cash and insurance payments
 Maintains patient waiting areas and front-desk areas in a manner that is organized
and neat.
 Keeps medical office supplies adequately stocked by anticipating inventory needs,
placing orders, and monitoring office equipment

Qualifications and experience
 Excellent talent to interact with people in a positive and courteous manner when
responding to inquiries by patients, prospective patients, and visitors
 Ability to be resourceful and proactive in dealing with issues that may arise
 Ability to organize, multitask, prioritize and work under pressure without
compromising on quality
 Must have experience with billing procedures for private health insurance, Telus
Health Portal, HCAI, and WSIB.
 Must have experience with Universal software or equivalent
 Must be able to work the following hours: Mon & Wed 9:00am- 6:30pm and Fri 9:00am – 2:00pm. Hours will increase shortly.

 Diploma/Certificate
Required experience:
 Medical Receptionist: 2years
